News: How to Rent a Facility

  1. Create an account (if you do not already have one) on this website. (We suggest using your email as the user name)

  2. (optional) Once you are logged in click on Facilities and Calendar. You can use the drop-down menu to see when the facility is available.

  3. Click on Facilities drop-down

  4. Click on the “Request” button next to the facility you are interested in (example shown below).

  5. Go through the step-by-step process to complete your request.

  6. You will need to purchase liability insurance to use any of our facilities listing the "Town of Harwinton" (not the facility you want to request) as additionally insured.  You can use your insurance provider. The Town of Harwinton uses CIRMA and they have provided us with links to liability insurance through their GatherGuard program for all of our facilities. You can use the links below to purchase insurance for the venue you are interested in. You will be asked to upload your Certificate of Insurance
    (COI) before completing your request.

  7.  Once your request is submitted, the Director will go in and check the information and approve or deny the request. Your request will not be approved without an updated COI.Once your request is approved you will be able to go in and pay the rental fee. You can pay online or drop off a check to Town Hall.
  8. If you are reserving Community Hall or the Senior Center you will need to come and pick up a key from Town Hall with a $100 check as a security deposit.

Recreation & Conservation Area Pavilion $50 
Senior Center Resident Fee $150.00, Non-Resident Fee $200.00
Community Hall Resident Fee $150.00, Non-Resident Fee $200.00\

The fees above are a daily rental fee. We do not book multiple events per day for the facilities above.

Cost for Use of Sport Complex (Fields, Courts, Pavilion)

Group A: Exempt From Fees
Group B: Exempt from Fees
Group C:$25 per hour, per field
Group D: $100 per hour, per field

A seasonal rental fee for approved league use may be negotiated with the Recreation Commission and the Director of Recreation.
A current participation roster may be required prior to use.  The roster must include each participant’s name, home address (no PO boxes), and phone number and include the same information for the person responsible for the team.
Note: Additional fees may be assessed at the discretion of the Director of Recreation depending on the nature of the request.                                                                                                                     

The Town of Harwinton reserves the right to require police, public safety or custodial personnel at an event/game.  All users/user groups will be responsible for fees associated with additional personnel.

             Harwinton events, Town of Harwinton sponsored groups

            - Region 10 Schools athletic programs and groups for non-profit use
Group B    
            - Non-profit youth sports programs & athletic organizations that serve
            Burlington and Harwinton (85% Burling & Harwinton Residents.)

            - Non-profit Harwinton-sponsored adult athletic organizations
            - Non-profit community, civic organizations comprised primarily of
             Harwinton residents    who contribute to the well-being of the Town of
             Harwinton.  Non-profit events only

Group C    
            - Non-profit, non-resident organizations, including youth & adult athletic             organizations serving the Town of Harwinton, but also serving a wider region.
            Non-profit events only

            - Harwinton Residents for personal, non-profit use
Group D        
            - Fundraiser event by Region 10 Schools, by non-profit Harwinton sponsored
            youth & adult sports programs & athletic organizations

            - Fundraiser event by non-profit community, civic organizations comprised
            primarily of Harwinton residents who contribute to the well-being of the Town
            of Harwinton

            -  Fundraiser event by non-profit, non-resident organizations, including youth
            & adult athletic organizations serving the Town of Harwinton, but also serving
             a wider region.   

            - For profit organizations, clubs, groups, private camps, tournaments,
              businesses

            - Non-residents for personal use
            - Others

Note:

A non-resident organization is defined as any group of individuals whose membership is composed of less than 85% Harwinton and Burlington residents.
Proof of non-profit status may be required.
